Our Story

How Steadwell came to be

Steadwell was established in Nonthaburi in 2019 by two former HR administrators who noticed a recurring gap: employees approaching retirement often had boxes of loosely sorted papers and no clear system for locating the documents they needed at the right moment. Their employers, meanwhile, frequently lacked a standard reference for the administrative side of pension management — leaving HR coordinators to reinvent the process each time a new colleague joined the team.

Rather than operating in the regulated space, we chose to do something more contained and, in our view, more immediately useful. We build reference materials, organise files, and digitize records. That is all we do — and we do it carefully.

Since 2019, Steadwell has worked with more than 340 individuals and 60 HR teams across the Bangkok area, each time aiming to leave behind a folder structure that makes the next search much shorter.

Order where it matters most

Pension paperwork accumulates over decades. Statements, contribution schedules, employer correspondence, tax references — these documents matter, and they are often spread across drawers, email folders and storage boxes in no particular sequence.

Our mission is to take that scattered material and put it in a shape that is logical, labelled and simple to hand to a professional advisor, a family member, or an HR administrator when the time comes.

We do not interpret what the documents mean, and we do not advise on any regulated matter. We bring the folder. You bring the questions to the right people.

Our standards and working principles

Document confidentiality

Client documents are handled only by the staff member assigned to your service. We do not share, copy or retain materials beyond the scope of the agreed work.

Consistent naming conventions

Every digital file is named according to a clear, agreed convention — date, document type, issuing body — so nothing needs renaming later.

Scope adherence

We stay within our stated scope at all times. If a task falls outside administrative support, we say so clearly and can suggest where to look for appropriate help.

Secure storage during service

Physical documents left in our care are kept in a locked area. Digital files in progress are stored on password-protected systems not connected to public networks.

Clear progress updates

We update clients at each stage of the work. You receive a completion report summarising what was organised, labelled or scanned before we hand anything back.

Revisions within scope

If a naming structure or folder layout does not suit how you work, we will adjust it. One round of revisions is included in every service package.

Our Approach

Practical documentation support for retirement planning contexts

People approaching or already in retirement frequently hold ten, fifteen or even thirty years of paper records from multiple employers, pension schemes and correspondence threads. Getting those materials into a usable shape is time-consuming and easy to defer — until the moment someone actually needs to find a document and cannot.

Steadwell works alongside that process. We take the documents as they are — in whatever order they arrive — and return them in a structure that reflects how they will realistically be used: sorted by date, by scheme, or by document type, depending on what makes most sense for that client's situation.

For HR teams, the challenge is different. New administrators often encounter pension-related tasks without any internal reference for how those tasks have been handled in the past. Our onboarding reference kit provides that structure — a documented set of standard steps, formatted for the team's own internal use.

In every case, the value we provide is the same: a clear, navigable record system that reduces the time it takes to find what is needed, and reduces the chance of something being overlooked.
